Kōrero mō te tūranga - About the role

Te Herenga Waka - Victoria University of Wellington is currently recruiting a permanent Mata ahupae - Senior Faculty Administrator to provide administrative and operational support across the Faculties of Humanities and Social Sciences (FHSS) and Education (FoE). Located within the Office of the Dean (FHSS), the role is primarily responsible for research grant and scholarship administration and support for committees at the Faculty level. It is an interesting and challenging senior administration role.

Key Responsibilities:

  • Manage and administer internal research grants and project applications, including for Conference Leave and Research and Study Leave.
  • Facilitate the Faculties’ processes for the Summer Scholarships Scheme.
  • Coordinate and support the administration of the Faculties’ postgraduate scholarships.
  • Provide operational support to the Faculties, including faculty level committees.

You will be a motivated, customer-focused individual who can take the initiative, and provide effective administration and policy compliance.

You will thrive in this role with an excellent manner with people, strong attention to detail, and self-management skills. This role is busy, challenging, extremely rewarding and interesting for the individual with the right temperament.

You will be a highly organised self-starter and natural relationship builder, who relishes working autonomously as well as contributing positively to a high performing team. You will need effective time management and forward planning to balance meeting deadlines and maintain a high standard of service. The ability to remain calm under pressure and thrive working with a diverse range of stakeholders is essential.

Key Requirements:

  • Ability to collect, collate and analyse information.
  • Demonstrated experience in an administrative role and in developing, implementing and maintaining administrative procedures.
  • Highly organised with proven experience in providing effective administration support to multiple internal committees.
  • Technically savvy individual with an excellent working knowledge of Microsoft Suite, Office 365 and the ability to pick up new technology quickly.
  • Experience working with databases and large volumes of information at a detailed level.
  • Outstanding people and communication skills including the ability to adjust to different audiences.
  • Capability to work as part of a team as well as having individual responsibilities.
  • Knowledge and experience in the tertiary sector is a distinct advantage.
